    This Privacy Policy explains how Pronect (“we”, “us”, “our”) collects, discloses, transfers and uses (“processes”) personal data when you visit this website, and which rights you have. It covers the website only. For our privacy practices in relation to our services, the agreement concluded between us applies. Please read it alongside our Cookie Policy.

    Who we are (data controller)

    Pronect.it BV, company number BE0777724026, with office at The Beacon, Sint-Pietersvliet 7, 2000 Antwerp, Belgium, acts as controller for the personal data gathered through your use of this website. For any question, concern or complaint about this policy, or to exercise your rights, contact info@pronect-it.com, for the attention of the Data Protection Officer.

    Personal data we collect

    Personal data means any information relating to an identified or identifiable natural person. We distinguish: (a) contact data, provided by you through our forms, such as name, work email, phone number, company, role, country and anything you choose to write in the free text field (please do not send sensitive information such as health data, criminal record data or payment card numbers); (b) education and profession data, where you apply for a role, such as professional experience, education and personal characteristics; (c) newsletter data, being your email address where you subscribe; and (d) usage data collected automatically, such as IP address, device type and ID, referral source, language settings, browser type, operating system, approximate location, length of visit and pages viewed.

    Purpose of processing

    We use personal data to: (a) reply to your query when you use our contact form, by email or telephone; (b) manage our customer base; (c) handle recruitment and applications; (d) send newsletters and invitations to events or seminars where you have subscribed; (e) support the website and your user experience, including its security, availability, performance and capacity; (f) establish, exercise or defend legal claims; and (g) meet our obligations under applicable law.

    Legal bases under GDPR

    Depending on the activity we rely on: (a) contract, article 6(1)(b) GDPR, where processing is necessary to perform an agreement with you or to take pre-contractual steps such as handling a demo or Proof of Value request; (b) consent, article 6(1)(a) GDPR, for non-essential cookies and marketing communications, which you may withdraw at any time without affecting processing carried out before withdrawal; and (c) legitimate interests, article 6(1)(f) GDPR, for supporting our website, improving user-friendliness and protecting our business, which you may object to as set out below. Where required, we also process personal data to comply with legal obligations.

    HubSpot and contact form processing

    Form submissions on this site are processed via HubSpot. The data you submit is transferred to HubSpot for storage, CRM workflows and follow-up by Pronect. HubSpot acts as a processor on our behalf. For more information, see HubSpot's privacy documentation.

    Analytics and cookies

    We use cookies and similar technologies for essential site functionality, analytics and marketing. Non-essential cookies are set only with your prior consent. See our Cookie Policy for the categories used and how to manage your preferences.

    Data retention

    Personal data is not kept longer than necessary for the purposes for which it was collected: (a) contact form data is kept for 3 years after the last contact; (b) customer database data is kept for 7 years after the end of the agreement, or 3 years where no agreement was concluded; (c) recruitment and application data is kept for 3 to 5 years; and (d) data processed to support the website is kept in line with the retention periods in our Cookie Policy. We may keep personal data longer where necessary to comply with legal obligations, to bring or defend a legal claim, or for evidential purposes. When retention is no longer required, we securely delete or destroy the data, or make it available to you.

    Data sharing and subprocessors

    Where you are a customer, we may pass your personal data to suppliers contracted to help deliver services to you. Where you are a supplier, we may pass your details to our customers so they can contact you. We share personal data with trusted subprocessors that support our operations, such as hosting, analytics and CRM providers, each bound by contract to protect it appropriately. We may also disclose personal data where required to meet a legal obligation, or to protect your vital interests or those of another person. This website uses social media plug-ins (LinkedIn) that direct you to our channels and let you interact with our content. A current list of subprocessors is available on request.

    International transfers

    Some subprocessors may process personal data outside the European Economic Area. Where that happens, we rely on appropriate safeguards such as Standard Contractual Clauses and complementary measures.

    Data subject rights

    Subject to applicable law you have the right to: access your personal data and receive a copy, with the first copy free of charge; have inaccurate or incomplete data rectified or completed; have your data erased, for example where it is no longer needed, where you withdraw consent and no other ground applies, where processing is for direct marketing, or where processing was unlawful; restrict processing, for example while the accuracy of your data or an objection is being verified; receive your data in a structured, commonly used, machine-readable format and have it transmitted to another controller where technically feasible; and object to processing based on our legitimate interests or on a public interest task, and to direct marketing at any time. Send a written request to info@pronect-it.com and we will respond without undue delay and in any event within one month of receipt. Where we extend that period or do not act on your request, we will tell you why. Certain exclusions apply, for example where processing is necessary for freedom of expression and information, for compliance with a legal obligation, or for the establishment, exercise or defence of legal claims.

    Complaints to a supervisory authority

    If you believe our processing infringes data protection law, you may lodge a complaint with a supervisory authority in the EU member state of your habitual residence, your place of work, or the place of the alleged infringement.     Security measures

    We apply technical and organisational measures appropriate to the risks of processing, including access controls, encryption in transit, logging and regular reviews of our security practices. The platform is Azure-hosted and aligned with relevant security principles.

    Changes to this policy

    We may update this Privacy Policy from time to time to reflect changes in our practices or in legal requirements. The most recent version is always the one published on this page.
